Who we are

Adaptive (“Adaptive,” “we,” “us”) is a personal AI Chief of Staff application operated in connection with Be A Decisive Leader. This policy explains how we handle information when you use https://adaptive.beadecisiveleader.com.

Information we collect

  • Account information such as email address and authentication identifiers.
  • Content you create in Adaptive (for example tasks, decisions, Work Board items, goals, messages, knowledge files, reflections, and settings).
  • Optional readiness / Life Ops inputs you choose to provide.
  • Optional connected-provider data (for example Gmail or Google Calendar) only after you explicitly connect those services.
  • Limited product analytics events (milestone names only; not message or readiness content).

How we use Google user data

Adaptive uses Google user data only to provide the features you enable. We do not sell Google user data. We do not use Google user data for advertising. Limited use complies with the Google API Services User Data Policy, including the Limited Use requirements.

  • Sign in with Google: basic profile identity (such as name and email) to create or access your Adaptive account. This does not grant Gmail or Calendar access.
  • Gmail (optional Connect): read authorized mail to surface commitments and follow-ups; draft or send only when you request it and Adaptive permissions allow it.
  • Google Calendar (optional Connect): read events for capacity and preparation; create or update events only with your intent and permissions.

Google Workspace Data

Adaptive may access Google Workspace data only when you explicitly authorize integrations (for example Google Calendar or Gmail, if enabled). Google Workspace data is used only to provide Adaptive functionality you request, such as organizing commitments, preparing for meetings, or drafting responses you ask for.

  • Google Workspace data remains associated with your Adaptive account.
  • We do not share Google Workspace data with third parties except where required to provide the service you requested (for example secure hosting or AI model providers that process prompts and context you authorize).
  • Access is limited to providing Adaptive features you enable; it is not used for advertising.

No generalized AI training on Google data

Adaptive does not use Google Workspace API data to train, develop, or improve generalized AI or machine learning models. Google Workspace data is only processed to provide functionality requested by the authenticated user.

AI assistant processing

Adaptive’s assistant may process prompts and relevant workspace context you authorize in order to generate responses. That can include user-created content such as Work Board items, decisions, goals, messages, and connected-integration summaries when those features are enabled. AI providers process this material under contractual protections to operate the service you requested. Adaptive does not use your Google Workspace API data to train generalized models, as described above.

The Decisive Leader mobile app also offers account-free guest chat. If you choose to use it, the text you enter and a short recent conversation are sent to OpenAI to generate a reply. Guest chat does not use your Adaptive account, connected data, files, or saved workspace, and Adaptive does not save the guest conversation. We use a limited, keyed hash of the request IP address to enforce guest usage limits; the hash is retained for up to two days. OpenAI processes guest prompts to provide the requested reply.

How we use other information

We use your Adaptive workspace data to operate the assistant, remember preferences you save, enforce permissions, provide optional proactive reminders, and improve reliability of the product for you. User data is not sold. User data is not used for advertising. Access is limited to providing the Adaptive service.

Google user data protection & security

Adaptive uses industry-standard security practices to protect user information. Protections include user authentication controls, access restrictions, encryption in transit, secure storage practices, and limited access principles so that Google-derived and other personal data are available only as needed to provide the service.

  • Authentication: saved Adaptive workspace features require an authenticated account session; general mobile guest chat does not.
  • Access restrictions: workspace data is scoped to the signed-in user; integration credentials are stored server-side and are not exposed in the product UI.
  • Encryption in transit: connections to Adaptive use HTTPS/TLS.
  • Secure storage: account and workspace data are stored in systems configured with access controls appropriate to a multi-tenant application.
  • Limited use: we do not sell user data, do not use it for advertising, and limit access to providing Adaptive features you enable.

Sharing

We share data with service providers required to run Adaptive (for example hosting, authentication, email delivery, and AI model providers) under contractual protections. We do not sell personal information. We do not share Google user data for advertising.

Google data retention and deletion

Google-derived data that Adaptive stores to operate features you enabled (for example sync metadata or user-approved items created from connected mail or calendar) is retained while your account remains active and the related features remain in use, unless you delete the related content earlier or request deletion.

When a user disconnects a Google integration, Adaptive stops accessing new Google data. Disconnecting removes Adaptive’s stored Google connection credentials for that integration so Adaptive can no longer call Google APIs on your behalf for that connection.

Users may request deletion of stored Google-derived data by contacting support or deleting their Adaptive account. Deleting your Adaptive account removes workspace data from Adaptive systems, including connection records and related credentials, as described in account deletion settings.

Your controls

You decide whether to connect Google and other integrations. Users can:

  • Connect integrations voluntarily in Adaptive Connections.
  • Disconnect integrations in Connections (Adaptive then stops accessing new data from that provider).
  • Manage or revoke permissions through Google Account permissions.
  • Change Adaptive permissions, knowledge, and Life Ops settings anytime.
  • Delete readiness history in Settings.
  • Request deletion of stored Google-derived data by contacting support.
  • Delete your account in Settings → Account (this removes workspace data from Adaptive systems).

Sign in with Apple

When you choose Continue with Apple, Apple may let you share your email address with Adaptive or use Hide My Email. Hide My Email gives Adaptive a private relay address ending in @privaterelay.appleid.com. Adaptive treats that relay address as a valid account email. We do not receive, store, or claim to know the underlying Apple ID email if you hide it. Apple generally offers Share My Email or Hide My Email the first time you authorize Adaptive, not on later sign-ins.
